Ask a questionDo I need to staff my business 24/7?
No. The goal is not around-the-clock staffing — it is a clear response path for customers when your team is unavailable. That may be an acknowledgment, a routing rule, a way to request an appointment, or a reliable follow-up the next business day. Kasence helps you decide what fits your business rather than adding headcount by default.
Can Kasence help with leads that arrive after business hours?
Yes. Kasence reviews how after-hours calls, messages, and website inquiries are handled today, then helps create a smoother response and follow-up process. That often means clearer expectations for the customer, better routing for urgent requests, and a dependable way for the team to pick things up the next morning.
What does Kasence do?
Kasence is a customer-service and business-systems partner for growing service businesses. Kasence helps businesses improve customer experience, streamline everyday processes, and connect the systems behind the scenes. That can mean managing customer follow-up, redesigning a process that keeps breaking, or helping the tools you already use share information properly.
What is customer service process improvement?
Customer service process improvement means defining how customer contact is handled at every stage, then removing the gaps where responses and follow-up fall apart. It covers who answers inquiries, how quickly, what happens when nobody can answer, how follow-up is tracked, and how customers are kept informed. The goal is consistency: the same standard of care whether the business is quiet or overwhelmed.
What is a Business Flow Review?
A Business Flow Review is a structured look at how customers move through your business and how work moves between your people and your systems. Kasence reviews inquiries, response times, missed calls, follow-up, scheduling, estimates, internal handoffs, CRM usage, and reporting visibility, then explains where time, follow-through, and opportunities are being lost and what to address first.
Does Kasence replace employees?
No. Kasence supports employees by reducing repetitive work, improving follow-up, and helping business systems work together. Technology is used to remove the tasks that waste people's time, not the people. The intent is to give your team more room for the work only a person can do well.
Does Kasence provide customer service?
Yes. Through managed plans, Kasence can handle customer-facing communication such as inquiry response, missed-call follow-up, appointment coordination, and status updates. Kasence works as an extension of your business, using your tone and your standards, and escalates to your team when a person there needs to be involved.
Can Kasence manage customer follow-up?
Yes. Follow-up is one of the most common reasons businesses come to Kasence. Kasence sets up a reliable process for tracking open leads, unanswered questions, pending estimates, and past customers, then manages that follow-up on an ongoing basis so it does not depend on who happens to remember.
Can Kasence help with missed calls?
Yes. Kasence helps put a dependable process behind missed calls so every caller receives a timely response. That usually involves a prompt acknowledgement, a clear owner for the callback, and a record that keeps the inquiry visible until someone closes the loop.
Can Kasence help with estimate follow-up?
Yes. Kasence helps track estimates from the moment they are sent through to a decision. Quotes are followed up on a consistent schedule, open estimates stay visible, and fewer opportunities go cold simply because nobody circled back.
Can Kasence improve our CRM processes?
Usually, yes. Kasence reviews how your CRM is set up, what it is being asked to do, and whether your team actually uses it, then helps simplify it so records stay current and useful. Improving how an existing CRM is used is almost always more effective than replacing it.
Do we have to replace our existing software?
Usually not. Kasence works with the systems you already use whenever practical. If a tool genuinely is not serving the business, Kasence explains why and helps you evaluate options — but replacing software is a last step, not a starting point.
What is business process improvement?
Business process improvement means identifying unnecessary steps, bottlenecks, and inconsistent handoffs, then redesigning the process so work moves more reliably. It starts with mapping how work moves today, because most problems are not visible until the whole path is written down.
How can a small business streamline its operations?
Start by mapping how work actually moves through the business, then remove the steps that add no value and clarify who owns each handoff. From there, standardize the processes that repeat most often, document them simply, and connect the systems that hold the same information. Small, practical changes in follow-up and handoffs usually produce more improvement than new software.
Can Kasence help connect existing business systems?
Yes. Kasence helps the phone, email, website, scheduling, CRM, and invoicing tools a business already uses share information more effectively, so customer records stay current and the team stops entering the same details twice.
Does Kasence use AI?
Kasence is not an AI company. Technology, including automation, is used only where it removes unnecessary work or improves consistency for customers, and people remain responsible for the relationship. Any technology Kasence recommends is explained in plain terms before it is used.
How does Kasence use technology?
Technology is used in a supporting role, behind the service. Kasence focuses first on the process and the customer experience, then applies the smallest amount of technology that makes the improvement stick — often better configuration of tools you already own rather than anything new.
Can Kasence work with businesses outside Wisconsin?
Yes. Kasence is based in Wisconsin and works with service businesses locally and remotely across the United States. Most work is done through conversations, shared documents, and the systems your business already uses online.
How much does Kasence cost?
Most engagements begin with a Business Flow Review. Project consulting is scoped around the complexity of the flow, not the size of the company, and quoted as a defined scope. Ongoing support plans start at $895 per month, and hourly advisory work is $185 per hour for every business. Same expertise. Same hourly rate. Different scope.
Can we start with consulting instead of managed services?
Yes. Many businesses begin with a Business Flow Review or a project-based engagement focused on one specific problem. There is no requirement to move to an ongoing plan afterward.
